A Simple Compliance Calendar Every Small Business Should Keep

Compliance calendar and documents

Missing a filing deadline or forgetting a licence renewal is one of the most avoidable problems a business can face — yet it happens all the time. The fix is surprisingly simple: a compliance calendar that lists every obligation, its due date and who is responsible for it.

Why every business needs one

Compliance tasks are easy to forget because many of them happen only once or twice a year. When they are scattered across emails, notes and memory, something eventually slips. A single calendar turns scattered reminders into a clear, shared plan — and protects you from late fees, penalties and stressful last-minute rushes.

What to include

  • Tax filings and payments — income, sales and any other business taxes that apply to you.
  • Payroll filings — employer returns and year-end employee forms.
  • Annual company reports — the yearly filings required to keep your business in good standing.
  • Licence and permit renewals — business, trade and professional licences.
  • Insurance renewals — liability, property, workers’ compensation and other policies.
  • Key contract dates — leases, supplier agreements and service contracts.
  • Internal reviews — policy updates, board or owner meetings and record-keeping checks.
Requirements differ by country, state and industry, so start by confirming exactly which obligations apply to your business.

How to build your calendar in five steps

  1. List every obligation. Go through last year’s paperwork, emails and bank statements to find recurring filings and renewals.
  2. Add the due dates. Record both the deadline and the date you want the work finished — ideally a week or two earlier.
  3. Assign an owner. Every item needs one person responsible for it, even if an advisor does the work.
  4. Set reminders. Use a shared calendar with alerts 30 days and 7 days before each deadline.
  5. Review it every quarter. Add new obligations as the business grows, hires staff or expands to new locations.

Keep it simple

Your compliance calendar does not need special software. A shared online calendar or a simple spreadsheet works well, as long as it is kept up to date and someone checks it regularly.

If you would like help identifying your obligations or want someone to manage the calendar for you, the Vizvex compliance team can set it up and keep you on schedule.
